Attendance and Timekeeping Expectations for HRS Staff
- Timesheets: Timely submission of your timesheet every pay period is required.
If corrections are needed, these must be done as soon as possible and
before the end of the pay period following the corrected period. All corrections
must be reported to your supervisor for further follow-up. [Note: When
correcting a timesheet, you will need to re-sign your timesheet in ET, and
your supervisor will need to re-approve it. Otherwise, the correction will
not be effected.]
- Meeting Attendance: Regular attendance at scheduled meetings is
required, including:
- Staff meetings
- Supervision meetings
- (Any working groups that you are a member of)
If you are unable to attend a meeting, let the meeting organizer know
in advance. If you have a conflict between a work deadline and meeting attendance,
work it out ahead of time with the meeting organizer or your supervisor.
- Work Schedule: Establish regular working hours and post your schedule
in your work area if your hours do not follow a roughly 9 to 5 schedule,
or if requested by your supervisor. Clear with your supervisor ahead of
time when you will not be here at your regularly scheduled time. It is
recommended that you maintain your calendar in Outlook to facilitate the
scheduling of meetings and appointments.
- Vacation Time: Clear your planned vacation days at least a week
ahead of time with your supervisor. Enter the days you will be away from
work on the HRS Staff Calendar.
- Sick Time: If you are ill and will not be in at work on a particular
day, notify your supervisor at the beginning of the day (before your starting
time). If you cannot speak with him or her in person, call Joyce Sisung
(734/936-2912) or Heather Hewett (734/936-0314) and ask them to let your supervisor
know and to put a note at your work area that you will not be in. You are
responsible for notifying someone in person that you are ill; a phone message
is not adequate. You will be asked to provide a physician’s statement for
prolonged or extended use of sick time, or if recurring absences are noted.
- Overtime: Occasionally it may be necessary for you to work overtime
to accomplish a given task by the due date. You are responsible to notify
your supervisor in advance if you anticipate needing to work any
overtime. Estimate how many overtime hours will be required to complete
the work and let your supervisor know; if it becomes clear that you will
not be able to finish in the time you gave as an estimate, let your supervisor
know ahead of time so s/he can approve the additional hours. When claiming
the overtime hours on your timesheet, send an e-mail to your supervisor
with the number of hours of overtime worked, and a very brief description
of the work performed so the approval can be turned in by your supervisor
at the same time as your timesheet.
